Converting a single file between formats is one of those tasks people either over-solve (installing a whole desktop suite for one file) or under-think (converting carelessly and losing quality or data along the way).

Document formats: PDF and Word aren't interchangeable

Converting a PDF to Word is inherently a best-effort reconstruction — a PDF describes where text sits visually, not the structural formatting Word relies on, so complex layouts rarely come back perfectly. Simple, mostly-text documents convert cleanly; heavily designed ones are worth reviewing carefully afterward rather than assuming a perfect match.

Image formats: pick based on what the image actually is

JPG suits photos, PNG suits screenshots, logos, and anything needing transparency, and HEIC (the default on modern iPhones) is efficient on-device but poorly supported almost everywhere else — which is exactly why "why won't this photo open" comes up so often until it's converted to JPG.

Spreadsheets: CSV is the format, Excel is the container

CSV is just comma-separated plain text — no formatting, no multiple sheets, no formulas. Converting to .xlsx is what actually unlocks all of that. Going the other direction, from Excel to CSV, is a simplification step, useful specifically when a receiving system only accepts plain CSV.

Combining images into a single document

Turning a handful of photos into one PDF is one of the more underrated conversions — useful for submitting scanned pages, a set of receipts, or a small portfolio as a single file instead of a folder of loose images someone has to open one by one.
